Terms & Conditions
Payment
Unless otherwise agreed a 50% deposit will be charged on all bookings, with full balance being due no later than four weeks before departure date. For bookings departing within four weeks, full payment will be required at the time of booking.
Cancellation Charges
Where the Customer cancels a booking, charges will be payable by the Customer as detailed below.
Single Day Hires
For cancellations made less than 48 hours before departure, no refund will be provided.
For cancellations made more than 48 hours before departure, a full refund will be given less an administration fee of 20%.
Multi Day Hires
For cancellations made less than 7 days before departure, there will be no refund.
For cancellations made between 8-14 days before departure, a full refund will be given less an administration fee of 50%.
For cancellations made more than 14 days before departure, a full refund will be given less an administration fee of 20%.
In addition, any fees paid or due to hotels/B&Bs/attractions/ferry will be deducted prior to a refund being given.

Alterations/Alternatives
The Company reserves the right to alter booking itineraries at any time, due to weather conditions, traffic problems, availability of attractions or other such extenuating circumstances beyond our control. The Company also reserves the right to substitute the size and type of vehicle with a vehicle of a similar quality, including those of other operators, for all or part of the booking.
Where the Customer alters agreed itineraries or passenger numbers with less than 72 hours’ notice for a one day hire or 30 days on multi day hires the Company reserves the right to re-invoice an administration fee of £50 depending on circumstances at that time.
Drivers are not permitted to accept changes to timings or route of the agreed schedule unless these have been confirmed with the Company office first.
Other Operators/Carriers/Third Party Suppliers
The Company will not accept or have any liability for any acts or omissions whether negligent or otherwise, of any supplier, subcontracted coach services, tourist attractions, or person providing services in connection with any booking, unless such a person is employed by or under direct control of the Company. Tickets and vouchers for travel on other carriers are subject to the normal conditions of carriage of the individual carrier.
Insurance
Whilst Balmoral Executive Travel maintains insurance meeting all statutory requirements, we strongly recommend that customers hold comprehensive and suitable travel, medical and cancellation insurance to cover for eventualities during travel.
Accommodation
Unless otherwise stated, please note accommodation is not included in the booking price. Accommodation arrangements for multi day bookings are provided independently by third party accommodation providers. Such arrangements are subject to the terms and conditions and limitations of liability imposed by these providers and as such any contracts undertaken are made between the customer and the Third-Party accommodation provider. All such arrangements are made independently of Balmoral Executive Travel, irrespective of any help and assistance which the Company may provide in securing such arrangements.
Prices
Unless otherwise stated, booking prices are for transport and the services of an experienced Driver or Driver- Guide only. All other attraction entrance fees, cruise tickets, food and drink, accommodation etc are additional optional extras, payable locally by the customer at their own expense.
Customer Conduct
Smoking is not permitted on any of our vehicles. The Company reserves the right to refuse to carry any person whose conduct or manner is likely to cause offence or upset to other passengers. In such cases no refund will be offered to the passenger and the Company shall have no further liability to that passenger.
Where a customer or group do not adhere to regulations relating to passenger transportation and safety, the Company reserves the right to refuse to carry that person or group and cancel the booking. In such circumstances the Company shall have no further liability to that person or group.
The hirer is responsible for the punctuality of all passengers, and the Company is not liable for anyone arriving or returning late.
Force Majeure
The Company does not accept any liability for any loss, inconvenience or damage caused by war, threat of war, riot or civil commotion, terrorist or criminal activity, industrial disputes, natural disasters, fires, illness, weather conditions, road traffic conditions, temporary technical, electrical or mechanical breakdown.
Onward Travel Connections and Pre-arrangements
Under no circumstances will the Company be held liable for any missed onward travel connections or pre-arrangements of any kind. These are strictly the responsibility of the Customer and no compensation will be offered for missed trains, flights, cruise, coach or other onward travel transportation, or any other pre-arrangements of any kind.
Data Protection
Please note that when giving information for the purposes of making your booking, we do not store credit card details, only contact information in case we need to contact you regarding your booking and to send you a feedback email request so we can improve our services. This data that you provide us with is only retained for 24 months and is only ever passed on to a third-party accommodation providers or visitor attractions to facilitate your booking with us.
